How to use ChatGPT to enhance HR processes

ChatGPT offers productivity and efficiency benefits for HR teams and recruitment processes, from tackling administrative duties to making onboarding easier for new hires. AI technology is evolving at a rapid pace, and making its way into existing operations to streamline how we work. Every industry is looking for ways it can incorporate ChatGPT and similar AI technology into their strategies, and HR and recruitment are no exception. From improving communications within a business to making the onboarding process smoother, here are a few ways that HR processes can be improved with the use of ChatGPT. 

The pros and cons of using ChatGPT in HR processes

Much has been said about ChatGPT and AI, and it’s a powerful tool for HR teams to leverage. But that’s not to say there aren’t things to consider. ChatGPT can generate human-like text and is incredibly versatile, from use in job description creation to conversational chatbots and interview assistance. The speed and efficiency of ChatGPT is one of the major benefits of this tool. It has the capability to generate responses to numerous requests in a short space of time, so it’s great for answering common questions and in instances where quick replies are needed. 

But it’s important to recognise the limitations of ChatGPT too. As with any AI model trained on data sets, there are sure to be biases in the training data which can lead to stereotypical or biased responses, and there’s naturally a limitation to its understanding of the world. ChatGPT is an evolving technology and we need to distinguish between what it’s capable of doing right now, and what we expect it to be able to do in the future. 

It’s also important that businesses understand how ChatGPT fits into their content more broadly, and how search engines view that content. “Google is unable to completely rule out AI content in the search results. What it comes down to is the quality of the content and if it fits in with their E-E-A-T guidelines. Experience, expertise and knowing who’s written the content is going to become very important. Use AI to help you, but don’t depend on it”, explains Justin Aldridge, Technical Director at Artemis Marketing

Create interview questions

ChatGPT is a great tool for coming up with industry or role-specific interview questions that will improve the interview process for recruiters. For example, you can ask it to create a list of 10 questions for a marketing role, or ask it for more specific topics such as behavioural questions or those based on the subject of productivity and organisation. This will help recruiters tailor their interviews to specific roles more efficiently, and be more creative with the questions they ask candidates to narrow down their search based on competency and situational judgement. 

Improve employee onboarding

Employee onboarding is a challenge for any business, but ChatGPT can help reduce the workload for recruiters and HR teams by making sure that new employees have access to the right resources and information they need to settle in quickly. HR professionals can set up ChatGPT to provide support and guidance for new hires in real-time, from answering questions they might have about company policies to how to fill out paperwork as part of their recruitment or automating administrative tasks like scheduling orientation. 

Create a HR chatbot

ChatGPT APIs can be used by non-coders to create their own AI chatbot, which is a great benefit for businesses in terms of reducing the admin and labour requirements of staff in answering common questions from interested applicants and existing staff alike. The chatbot can be personalised to your industry and business specifically, to improve the user experience and provide instance support for subjects like company benefits, payroll and holiday policies. The effectiveness of the business as a whole, but particularly within HR departments, is greatly improved with the use of a chatbot, enhancing engagement and making sure staff feel taken care of. 

Easier data management and analytics

Data entry and producing reports are some of the more time-consuming tasks that HR professionals have to deal with, but they’re also tasks that ChatGPT can help with. The AI chatbot can provide useful insights into the data you provide it with, and can even recommend steps to prevent undesirable circumstances in the business. AI-based analytics takes an arduous task and makes it much quicker and more efficient, from understanding employee absences and attendance to trends in data and even alerting you when an employee might not be giving their all in terms of performance. 

Create a better employee experience

Employers put a lot of time and effort into gathering data on their staff to retain the best staff and improve employee satisfaction. These types of data-gathering surveys are more and more common in businesses. ChatGPT can improve communication between HR teams and staff, evaluating questionnaires and surveys from employees to put the information gathered into action. It can help to boost trust in HR staff and enhance engagement, while also creating a better environment for staff. ChatGPT can create learning and development plans for staff, for their unique, individualised career goals, and provide learning materials which are relevant to their job and objectives. 

Simplify performance management

As an AI-powered tool, ChatGPT is highly effective in helping teams set goals, analyse performance evaluations and create personalised goal plans for employees. For example, you could ask ChatGPT to assist you in addressing common issues in the performance management process, or to suggest the right language for evaluations that will garner the right results from the review. It’s a useful tool for providing personalized assistance and access to the right resources and information so that staff always feel supported. 

There are plenty of use cases within HR and talent acquisition that can make the lives of professionals in this sector much easier. From improving productivity for teams by reducing administrative and repetitive tasks to delivering targeted responses tailored to specific roles, ChatGPT and other AI-powered tools offer many advantages for businesses. 

The positive impact of ChatGPT isn’t just at a business level though. It can improve the health and well-being of staff, from reducing tedious tasks so that individuals can work on more fulfilling projects, to helping HR teams action feedback from employees to create a more enjoyable work environment.
