Top tips for setting a code of conduct for employees

A code of conduct defines the rules on how employees should act on a daily basis. Code of conduct is unique for each organization and should be created taking into account the company’s daily operations, core values and company culture.

As HR professionals it is one of our job responsibilities to create this document in a proper and understandable way for all of our employees. 

Creating a great code of conduct requires a deep understanding of the company, its culture and vision, mission, and strategy. 

Tips for HR Professionals: during the process of creating Code of Conduct take in mind: 

  • Write for those who will read: content should be understandable for everyone: simple and precise sentences, no technical or legal jargon.
  • All-inclusive: Cover critical details that may impact the daily lives of employees and give the answers to common questions that arise. 
  • Code of Conduct should be accessible for all employees as well as organized, structured, with great Examples and definitions 
  • During the process of creating Code of Conduct follow a style that is clean and reflective of the company. 

What points should be in the Code of Conduct? 

  • Company mission, visitation, strategy 
  • Purpose of the code of conduct 
  • Compliance with Laws, Rules, and Regulations 
  • Working hours, information about days off, vacations, sick leave
  • Unacceptable behaviours and their consequences 
  • Dress code, drug use, or sexual harassment policies 
  • Protection of User Data and Personnel Data 
  • Confidentiality and conflicts of interest 
  • Reporting Violations 
  • Company and equipment use and protections 
  • Training requirements and guidelines 
  • Job duties and employment benefits 

Employees have a greater understanding of the business rules by having a code of conduct to follow, it improves the working situation for staff and promotes company’s business values.
